Arrival Time:
​Your cabin will be available to you from 3pm on your day of arrival.

Parking:
Our car park is located at the rear of Colestocks Farm Cottage. Follow the cellular-grass surfaced track to the end and park in the concealed parking area with the 5-bar wooden gate. Please drive very slowly along the track, and mind for children and animals.

Here is an image of our guest parking area, fully surfaced with vehicle-friendly cellular grass reinforcement system. Please park in front of one of the wooden posts on the ground. Do not park in the centre of the parking area, otherwise you will block other car movements:

Cabins location:
The cabins are a 180-metre walk across flat ground from the parking area. Vehicles cannot go beyond the parking area. Please follow the signage to the cabin. 4-wheel trolleys are provided to help you transport your luggage. Please be aware, the 180-metre walk from parking area to the cabins can be wet and muddy in places if there has been recent heavy rain, so we do recommend bringing boots or wellies.

Cabin Entry:
Your cabin key is in a keybox attached to the near side of the wooden steps to the cabin door.
Keybox code will be sent to you by direct message on the morning of your arrival.
Please always lock the cabin and leave the key locked in the keybox whenever you leave the site.

Departure:
Check-out is by 10am on your day of departure. Please ensure the cabin is left clean and tidy, and all rubbish/recycling is taken to the designated area in the car parking area (more info on this below). Switch off all lights, underfloor heating and towel radiator. Remember to log out of any apps on the TV. Lock the cabin and leave the key locked in the keybox.

Insects:
Please be aware the cabins are in a rural setting and flies and other insects can be attracted to their lights and warmth, both during the day and at night. Please try to keep the cabin doors closed if you are outside, and lights kept to a minimum in the evening, so as to not attract insects inside the cabin. There are net screens on all the windows to help with this.

Wi-Fi:
Each cabin has its own independent Starlink Wi-Fi connection. Password is provided within the cabin.
​
TV:
A Samsung smart TV is wall-mounted in the cabin. It is connected to the Wi-Fi and offers apps including Netflix, Prime, BBC iPlayer, Disney etc. You must sign into your personal account on any of these platforms to view content. There are also news, children’s, and other channels on the free Samsung TV app. The TV is on an adjustable bracket and can be angled to view comfortably from either the sofa or bed.
It is your responsibility to ensure you sign out of your account on all apps on the TV before your departure. We will not be held liable for any purchases made using your account.

Kitchen:
The cabin features a fully-equipped compact kitchen with an electric oven, twin induction hob, sink, fridge, toaster and kettle. Crockery, cutlery, glassware, and cooking utensils are provided.
Please only use the kitchen pans on the induction hob. Do not use them on the outside fire bowl. Doing this damages the pans and will be charged.

Rubbish / Recycling:
Please take your rubbish to the bins in the parking area when you depart:
- General waste (in black bin bags) goes in the black wheelie bin
- Food waste (in biodegradable bags) goes in the small blue bin
- Recyclable Cardboard, Paper, and Glass goes in the black box
- Recyclable Cans, Plastics, Cartons, and Foil goes in the green bag
​- Oak Park Dairy Glass Milk Bottles provided as part of our Breakfast Hampers (available to Friday arrivals) should be rinsed and left out as these can be returned and reused.

Bathroom:
The bathroom shower is electric and should heat instantly. Please make sure the extractor fan is on when the shower is in use. The extractor fan is connected to the bathroom light and will stop automatically a few minutes after the light is switched off. Please do not switch the extractor fan off manually. Please only flush toilet paper down the toilet and put all other items in the bathroom bin provided — the toilet is connected to a sewage treatment plant and sanitary products or wet wipes will cause a blockage. The switch to turn on the heated towel rail is located outside the bathroom, low down to the right of the bathroom door.

Underfloor heating:
The cabin features electric underfloor heating throughout, controlled by the white touch-screen panel on the wall by the TV. Flick the switch on the side of the control panel up to turn on and use touchscreen to select Manual and adjust temperature. Do not press “X” after setting the temperature, otherwise you will undo the change you have made. Just leave it and you should hear a quiet click as it sets. Please ensure the underfloor heating is switched off before departure. (The cabin is extremely well insulated and we suggest underfloor heating is not required in summer months.)​​

Wood-burning stove (Cabin #1 only):
Features a small ‘Hobbit’ wood-burning stove. The stove must be attended at all times when lit and must be completely extinguished if not attended. Do not rest anything on or against the stove and be mindful the flue will be very hot when in use. (As above, we suggest this is not required in summer months.)​​

Wood-fired Hot Tub:
The wood-fired hot tub is emptied, cleaned, and filled with fresh water before every arrival. One supply of logs plus a small amount of kindling, firelighters, and matches are provided complimentary. Additional is available, charged at an additional cost. Please be aware, the water takes 5+ hours to get up to heat first time. However, once warmed, it retains its heat well (as long as the lid is put on between uses), meaning it is faster to get back up to heat up on any following uses.

Fire Bowl:
A fire-bowl with bbq grill is provided. This must be attended when lit and must be fully extinguished if unattended.
Terms of Your Stay
​
Fire Safety:
There is a smoke and fire detector located on the ceiling in the centre of the hut, which is tested routinely. There is also a Carbon Monoxide detector in the kitchen area. Guests are not expected to use firefighting equipment, however there is a fire extinguisher by the door and a fire blanket on the shelf above the kitchen sink. In the event of a fire, guests should remain calm, take immediate action, and follow these steps:

Evacuate: Guests should evacuate the cabin immediately.

Proceed to Assembly Point: Once outside the cabin, guests should proceed to the designated assembly point in the car parking area.

Alert Emergency Services: once in the parking area, guests should dial 999 to report the fire to emergency services and provide:

Alert The Owner. After reporting the fire to emergency services, the guest should alert the owner by calling 07859020104.
Safe Use of Electrical Appliances:
Guests should only use electrical appliances provided, or those that meet safety standards. They should avoid overloading electrical outlets and refrain from using damaged or frayed cords. Unattended appliances should be turned off and unplugged.

Keep Exit Clear:
Guests should ensure that the cabin door and steps remain clear and unobstructed. Personal belongings should not be left in these areas as they can impede evacuation and hinder emergency responders.
​
Security:
Please make sure the cabin is locked and the key locked in the keybox whenever you leave the site. Loss of the key will incur a charge.
​
No Smoking:
West Meadow Cabins is subject to a strict no-smoking policy inside of the cabins. Any odour/pollution or damage from smoking will result in a charge to ensure the cabin is returned to a satisfactory standard. Smoking outside of the cabin is permitted but guests are responsible for the safe and tidy disposal of their cigarette butts. Please do not litter the surrounding area.

Breakages and Damage:
A degree of normal wear and tear is to be expected but should any significant damage or breakage occur during your stay you will be responsible and liable to a charge equal to the lowest current market value. We reserve the right to charge for excessive cleaning where the cabin has been left in an unacceptable condition.

Liability:
West Meadow Cabins (Outdoorvia Holidays Ltd) accept no responsibility for any illness or injury incurred anywhere on the 16-acre site, including within and around the cabin. Use of the site and facilities is at the user’s own risk.
​
Negligence:
Guests will be held responsible for any fire, damage or alteration to the cabin or other parts of the site caused by negligence. Tea lights and candles are strictly forbidden inside and outside the cabin. Please do not leave anything on or rested against the wood-burning Hobbit stove inside Cabin#1 or the wood-burning stove element of the hot tub outside the cabins.

Stolen Property:
You are responsible for your property, including your car, whilst you are staying at West Meadow Cabins. We do not accept any responsibility for any damage, loss, or theft of any of your personal effects.
​
Dogs and Pets:
Unfortunately we cannot accommodate dogs or any other pets.
Code of Conduct:
Guests agree to not act in any way which would cause disturbance to other guests or nearby residents. Please respect our neighbours, particularly when at the parking area and when walking between the parking area and the cabins. No audio players are permitted anywhere onsite outside of the cabins. In exceptional circumstances, we reserve the right to ask a party to leave if there is repeated noise and a request to keep the environment quiet and peaceful is ignored. When this is the case, no refund will be provided, as the guest will have breached the terms of our contract.

Guest complaints:
In the first instance of any complaint, please speak to your host Tom directly either in person or call 07851020104 so we can try and help resolve the issue. If you are unable to do so, or wish to do so after you leave, please send any complaints by email to hello@westmeadowcabins.com. Please note, complaints received more than 14 days after your departure cannot be reliably investigated.
